Proctoring Guidelines

The guidelines for faculty on administering remotely proctored exams was developed by Cleveland State University's senior leadership and the CSU Office of General Counsel:

You are permitted to administer remotely proctored exams using third-party proctoring solutions like HonorLock, Respondus, and ProctorU.

  • Please make it very clear in your syllabus if your course requires remotely proctored exams.
    • Sample Syllabus Statement:
      • This course requires you to take a remotely proctored examination, during which you may be required to briefly show your surroundings using your web camera (a “room scan”) prior to beginning the exam, wherever you choose to take the exam.
      • You will not be permitted to take remotely proctored examinations in your home/residence hall rooms unless you are willing to conduct a room scan. By choosing to take the exam in your home/residence hall room you are consenting to the room scan of the area where you take the exam.
      • If you do not wish to have your home/residence hall room subject to the room scan, you may take the exam from another location where you won’t be interrupted including:
        • CSU Testing Services;
        • CSU’s library;
        • A public library;
        • Testing centers at your local community college or other community testing sites.
      • ***It is your responsibility to identify an appropriate location to take your exams. Most locations, including CSU Testing Services, require at least 48 hours’ notice.
      • The room scan will only be visible to CSU officials with a legitimate need to review the video. Other students will not be able to see your room scan.
      • If you have or require testing accommodations, please contact the Office of Disability and Testing Services (for disability accommodations) at ods@csuohio.edu/216-687-2015 or the Office for Institutional Equity (for pregnancy, parenting and other accommodations) at oie@csuohio.edu/216-687-2223.
      • If you have questions about the proctoring technology, please contact the Center for e-Learning at elearning@csuohio.edu/216-687-3960.
  • If you require a remotely proctored exam, you may require students to briefly show their surroundings prior to the exam (“room scan”), regardless of where they take the examination. Students who chose to take an exam in their home/residence hall room are deemed to consent to a room scan of the area where they take the examination. Please make this very clear in your syllabus.
  • The “room scan” should not be visible to other students and is only to be reviewed by you or other University administrators in the event of suspected academic misconduct. Do not use Zoom, Microsoft Teams, or other virtual platforms that allow students to see the room scans conducted by other students.
  • It is the students’ responsibility to identify an appropriate location to take a remotely proctored exam where they will not be interrupted and where they consent to having a room scan.
  • You are not required to offer alternative testing or other assignments to a student who does not want to take a remotely proctored exam unless necessary to fulfill an Office of Disability Services (ODS)/Office of Institutional Equity (OIE) accommodation requirement.
  • If you have questions about testing accommodations, please contact ODS at ods@csuohio.edu/216-687-2015 or OIE at oie@csuohio.edu/216-687-2223.
  • If you have questions about the proctoring technology, please contact the Center for eLearning at elearning@csuohio.edu/216-687-3960.
