Why are we requiring such a procedure?

Campus Mail Bag

The Campus Mail Bag provides our community with information about events and announcements from staff and faculty. You can review these online any time from the Internet!

Purpose

The Campus Mail Bag is available to help University members communicate University business more effectively and efficiently. To ensure that faculty, staff and students are not inundated with announcements; however, the University Executive Staff requires approval of the messages by the President, Provost or a Vice President.

To add a message to the Campus Mail Bag, please follow the policy and procedure listed below…

Guidelines for Campus Mail Bag

Please note that Campus Mail Bag announcements are not secured - that is, non-CSU web-surfers will be able to read all postings.

The format of announcements cannot be guaranteed since they are viewed through the Internet. The Campus Mail Bag Administrators will NOT format announcements.

For best results:

. Create your Campus Mail Bag posting in an email, Notepad or in a Word document.
· Limit the use of special characters and graphics.

Criteria for Announcements:

· The message must be important to the University population receiving it.
· The person originating the message must be a CSU faculty or staff person.
· The message subject must be clear and informative.
· The message cannot be of a commercial or personal nature.
· Announcements will be in English.
· The message must be received as an email (we do not type messages) and cannot include
graphics.

Procedure:

1) Create an email that includes the following elements:
   a. Explanation of why this should be posted, your name & phone number
   b. Desired announcement including the subject/title and an email address for any responses
  c. Clear description of which group(s) would be interested.
  At the current time, we support the following options:
      a) All Staff
      b) All Faculty
      c) All Students
      d) Any combination of these

2) To minimize the opportunity for error please use the subject line of the email submitted for posting for the subject you wish to be displayed on the Campus Mail Bag.

Forward your email to your Provost, Vice President or above, asking them to add a statement of approval, including their title, and ask them to forward the announcement to call.center@csuohio.edu

Turn-around Time:

Upon receipt in the Call Center, we will process the announcement. Please plan based upon the following timeframes:
- Posting announcements can take up to two working days once received, with approval, by the Call Center. - Digests are scheduled to be emailed on Mondays and Thursdays.
Please plan to have your request to the Call Center well in advance of when it needs to be sent. This provides time for answering questions or resolving problems that sometimes may occur. In case of an emergency such as unplanned outages, please also call the Call Center at 687-5050 to explain why this is an emergency and we will post within an hour of receipt. If you do not send your email to call.center@csuohio.edu, we cannot guarantee delivery.

Very Important:

Send requests to call.center@csuohio.edu. We have a procedure to ensure that someone will be able to handle your request if it is sent to call.center@csuohio.edu. If you send your email to someone OTHER than call.center@csuohio.edu, we cannot guarantee that the receiver will be in the office and your announcement may not be posted.

Why are we requiring such a procedure?

· Announcements require University resources in both equipment and staffing.
· Providing easy access to announcements can result in large amounts of unwanted announcements, encouraging people to not read them at all.
